1. Definition of Personal Information

2. Information We Collect

Tokyo Little Hands Co., Ltd. (“Tokyo Little Hands”, “we”, “us”) mainly collects the following information:

  • Parent/guardian information:
    Name, nationality, email address, telephone/WhatsApp contact, accommodation details (hotel name, address, etc.)
  • Child information:
    Number of children and their ages (in principle, ages 2–12), health conditions, allergies and dietary restrictions, personality and any special considerations, requests for the day of care, emergency contact information, and similar details
  • Identity verification information:
    Images of government-issued photo IDs (for visitors, the passport photo page, etc.)
  • Payment information:
    Card information handled via payment service providers (we do not store card numbers or other full card details)
  • Log information:
    IP address, cookies, browsing history, device information, and access date and time (including information collected via tools such as Google Analytics)
3. Purposes of Use

We use the information we collect for the following purposes:

  • Arranging babysitters, matching with suitable sitters, scheduling, and providing services on the day
  • Identity verification, safety management, and emergency contact/response (including support such as calling 119/110 or assisting with visits to medical institutions)
  • Billing, payment processing, and handling refunds
  • Improving service quality, responding to inquiries, handling complaints or issues, and keeping records
  • Complying with laws and regulations, and exercising or defending legal rights

We do not use personal information for purposes unrelated to our babysitting service.

4. Third-Party Sharing and Outsourcing

We do not provide personal information to third parties except in the following cases:

  • When we have the person’s consent
  • When required by laws or regulations
  • When necessary to protect someone’s life, body, or property

For operating the Service, we may entrust the handling of personal information to service providers such as:

  • Payment service providers, cloud service providers, system maintenance providers, and similar vendors
  • Insurance companies and professionals (such as lawyers), as needed

In such cases, we enter into contracts covering matters such as prohibition of use for other purposes, confidentiality, and security management, and we appropriately supervise these service providers.

To the extent necessary for providing the Service, we share with contracted sitters the information they need to care for the child, such as allergies and health conditions, important notes for the day, accommodation details, and contact information.

Because we use cloud services and similar infrastructure, personal information may be stored on servers located outside Japan, and support staff located overseas may access such information remotely under confidentiality obligations.

5. Use of Cookies
We use cookies and similar technologies to improve website usability and to analyze access.
You can disable cookies in your browser settings. However, if you do so, some functions of our website may not work properly.
6. Security and Retention
We take appropriate security measures to prevent unauthorized access, loss, alteration, or leakage of personal information. These measures include limiting access rights, using encryption, keeping audit logs, and providing training to employees and service providers.
We retain personal information only for as long as necessary to achieve the purposes described above and delete or appropriately anonymize it when it is no longer needed.
7. Requests for Disclosure, Correction, and Deletion
You may request disclosure, correction, addition, deletion, suspension of use, or suspension of third-party provision of your personal information that we hold, to the extent permitted by applicable laws.
We may ask you to provide information necessary to verify your identity when making a request. If we cannot comply with your request in whole or in part due to legal or operational reasons, we will inform you of the reason.

We may revise this Privacy Policy in response to changes in laws and regulations or in our services. Any updates will take effect when the revised Policy is posted on our website.
